How it works, in 3 lines

You make the estimate in your app. About 2 minutes: pick the customer, type what you charge, send it.

The customer gets a text or an email with a link. They open it, see it, accept it, and can download it. No app on their side.

When they accept, the system tells you. You do the job and get paid the way you always do: cash, check, Zelle, bank transfer.

Good to know: this does not take card payments. Nothing changes in how you get paid. It only makes your estimate look professional and arrive in seconds.

Open your app and tap Apps (bottom right). In the Sales & Operations group there are three buttons:

  • Estimates: where you make and send your quotes.
  • Products: your list of services with typical prices for your area. Adjust them to yours or add more.
  • POS: do not use it (it charges nothing, there is no processor).

Shorter: on Home, under Pinned apps, you already have Estimates and Products one tap away. No need for the Apps menu.

First, the customer must be in your contacts

The New Contact form in the app

An estimate can only pick someone who is already in Contacts. If the customer is new, add them first:

  1. Tap Apps, then Contacts.
  2. Tap + and type their name and phone. Email is optional.
  3. Save. Done, you can pick them in the estimate now.

If the customer texted or called your business number, they are already in Contacts. Nothing to do.

Your products: the list of what you charge for

We loaded a list with typical prices for your area. Adjust them to yours. A product is one thing you charge for: "Interior painting, per room", "Power washing", "Siding repair". With a fixed price, or at 0 when the price changes with every job (you type it at the moment). Create them ahead of time, or right inside the estimate.

Create item, step 1: item name, description and tax

Step 1: type the name. Image and description are optional. Under "Add tax" pick nothing.

Step 2: price name (the same name works), keep One time, type the price. If it changes per job, leave 0.

Step 3: review and tap Create item. It shows in your list.

Tip: name each product the way the customer understands it. They will read it on the estimate.

Send an estimate, step by step

Tap Apps, then Estimates, then the + button. Four steps.

Estimates: all your estimates and their status. Tap + for a new one.

Step 1: pick the customer. Name the estimate (the job address works well). The dates are already set. The number goes up by itself: EST-4, EST-5, EST-6.

This screen opens. Name the item (or it shows as "Custom Item"), check quantity and price. If you charge for it often, turn on Save for later: it goes to your list. Tap Update.

Next tells you how many lines you have. Check that every line has a name before you go on.

Step 3: notes for the customer (what is included, when you start). You can attach photos or a PDF. All optional. If the job carries tax, write in the notes: "Prices before tax; tax is added at payment". Tap Review. Deposit: if you ask for one (10 to 30%), write it in the notes too; never as a product.

Step 4: review the lines. To remove one, swipe it left and tap Delete. "Add discount" if you want. Leave "Add payment schedule" alone.

Further down is Payment settings. Leave both off: "Enable direct payment" and "Enable invoice sending". You do not take card payments.

Preview (top right) shows what the customer will see: your logo, name, phone, address, the lines and the total.

Send: pick Text, Email or both. Done.

The estimate stays in your Estimates list with its status. When the customer accepts, the system tells you.

Tip: to send by text, the customer's phone must be a mobile number. Email works with any address.

When the customer accepts

  1. The customer opens the link, sees the estimate and taps Accept. They can download it as a file.
  2. The system tells you, and in your list the estimate turns to accepted.
  3. You do the job and get paid the way you always do: cash, check, Zelle, bank transfer. Nothing changes there.

Tips that save you time

  • Send it the same day you see the job. Fast estimates get approved more.
  • One line per thing you charge for. "Paint 2 bedrooms, 2 coats" says more than "Painting".
  • Name every line. That way nothing shows as "Custom Item".
  • One estimate per job. Easier for you, clearer for them.
  • Fixed prices go in Products. Prices that change per job: leave them at 0 and type the amount each time.

Questions people ask

What is the POS button for?

Do not use it. It charges nothing, because there is no payment processor. Your two buttons are Estimates and Products.

Can I change or delete a product?

Yes. Open Products, tap the product and change its name or price. You can delete it too. It is your list.

Does the customer need an app?

No. They get a link by text or email. It opens in their browser. They accept it there and can download it.

Where does the logo on the estimate come from?

From your business profile in the app: the same logo, name, phone and address your customers already see. Want to change it? Text us.

I sent it to the wrong customer. Now what?

Text us and we cancel it with you. Then make a new one for the right customer in a minute.
